Privacy Policy
Last updated: 16 October 2026
This policy explains how MS Energy Group Ltd ("MS Energy", "we", "us") collects, uses and protects personal data when you visit our website, respond to our adverts (including on Facebook and Instagram), or otherwise get in touch with us. We are committed to handling your data in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
1. Who we are
MS Energy Group Ltd is a UK renewable energy consultancy and is the data controller responsible for your personal data. If you have any questions about this policy or how we use your data, contact us at enquiries@msenergy-group.com.
2. Information we collect
Information you give us. When you fill in an enquiry or lead form (on our website or through a Meta lead form on Facebook or Instagram), email us or speak to us, we may collect:
- Your name, job title and the company you work for
- Your business email address and phone number
- Details about your site(s), energy usage and project requirements
- Any other information you choose to include in your message
Information from advertising platforms. If you submit a lead form in one of our adverts on Facebook or Instagram, Meta Platforms passes the information you entered to us so we can respond to your enquiry.
Business contact information from other sources. We may obtain business contact details (such as name, job title and business email address) from publicly available sources, including Companies House and company websites, and from reputable B2B data providers, so we can contact organisations that may benefit from our services.
Technical information. When you visit our website, our hosting provider and font provider may automatically process basic technical data such as your IP address, browser type and the pages you request, to deliver and secure the website.
3. How we use your information
- To respond to your enquiry and arrange a consultation or site assessment
- To prepare proposals, financial models and funding options for your project
- To deliver and manage projects and provide ongoing support
- To send you relevant information about our services, where permitted by law
- To measure and improve our advertising and website
- To comply with our legal and regulatory obligations
4. Our legal basis
We only process personal data where we have a lawful basis to do so:
- Consent — for example, when you submit a form and agree to be contacted. You can withdraw consent at any time.
- Contract — where processing is needed to take steps at your request before entering into a contract, or to perform a contract with you.
- Legitimate interests — to run and grow our business, including business-to-business marketing, provided your rights and interests do not override those interests.
- Legal obligation — where we must keep or share information to comply with the law.
5. Marketing
We may send business-to-business marketing communications about our services. Every marketing email includes a simple way to unsubscribe, and you can also opt out at any time by emailing enquiries@msenergy-group.com. Once you opt out, we will add you to our suppression list so you are not contacted again.
6. Who we share your information with
We do not sell your personal data. We only share it where necessary with:
- Service providers who help us run our business, such as website hosting, CRM, email delivery and data verification providers
- Advertising platforms, such as Meta, in connection with our adverts and lead forms
- Funding partners, leasing partners and approved installation contractors, where needed to progress a project you have asked us to help with
- Professional advisers, such as lawyers and accountants
- Regulators, law enforcement or other authorities where required by law
All service providers act on our instructions and are required to keep your data secure and confidential.
7. International transfers
Some of our service providers, including Meta, may process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations, the UK International Data Transfer Agreement or Addendum, or the UK Extension to the EU–US Data Privacy Framework.
8. How long we keep your information
- Enquiries and leads that do not progress: up to 24 months from our last contact with you
- Client and project records: for the duration of our relationship and up to 6 years afterwards, to meet legal and accounting requirements
- Suppression list: we keep the minimum details needed (usually just your email address) to make sure we respect your opt-out
9. Keeping your information secure
We use appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. Access is limited to people and providers who need it to do their work.
10. Your rights
Under UK data protection law, you have the right to:
- Access the personal data we hold about you
- Have inaccurate data corrected
- Have your data erased
- Restrict or object to how we use your data, including an absolute right to object to direct marketing
- Receive your data in a portable format
- Withdraw your consent at any time, where we rely on consent
To exercise any of these rights, email enquiries@msenergy-group.com. We will respond within one month.
11. Cookies and tracking
Our website does not currently use analytics or advertising cookies. If we introduce analytics or advertising technologies in the future (such as the Meta Pixel), we will ask for your consent where required and update this policy.
12. Complaints
If you are unhappy with how we have handled your data, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
13. Changes to this policy
We may update this policy from time to time. The latest version will always be available on this page, with the date it was last updated shown at the top.
